How we handle your documents

Invoices and purchase orders contain names, contact details and commercial terms. Here is plainly what happens to them when you send us documents, and what we commit to.

What we receive

Only what you send us: the documents themselves, and the reference lists needed to match them — typically a vendor list and, where relevant, item or contract identifiers. Where collection runs from a mailbox, we hold credentials for one address you created for this purpose, never for the mailbox your team works in. Anything that arrives there and is not a document of a type we process is discarded without being stored or read further.

What we use it for

One purpose only: running your batch through the pipeline and producing your results — postings, a review queue, and the accuracy report.

Who else touches the data

One step — reading the fields off the page — runs on an outside service. Two companies, and this is the whole list:

• Google — the Gemini API on its paid tier, which is what most engagements run on, and Cloud Document AI's invoice parser where the volume makes that the cheaper of the two.
• Anthropic — the Claude API, on document types the default reads less reliably.

Both run on their paid business tiers. Nobody else receives your documents: no data brokers, no offshore keying, no subcontractors.

How long we keep it

• During the engagement — for as long as needed to produce and check your results.
• After an engagement that does not continue — deleted within 30 days, or immediately on request.
• On request, at any time — we delete your documents and confirm in writing when it is done.

If you are in the EU or UK

For your documents we act as a processor and you remain the controller. We will sign a data processing agreement before anything is sent if you need one — ask and we will send ours, or work from yours. You keep the usual rights of access, correction, deletion and portability, and a request to us costs nothing and gets answered within 30 days.

This website

No advertising trackers, no third-party cookies, no newsletter pixel. The site is hosted on Cloudflare, and visits are counted with Cloudflare Web Analytics: page views and referrers, no cookie set, no profile built, nothing that follows you to another site.

The contact form is delivered to us as an e-mail by Resend, and nothing else is done with it. What you type in — your name, company, address, phone and message — reaches the same inbox you would have written to yourself, and is kept as ordinary correspondence. It is not added to a list and not used to contact you about anything else.

If we email you first

We contact companies whose public job postings or websites show that documents are being entered by hand. Every message says who we are, links here, and includes a working way to be removed. Ask once and we delete your details and never write again.
